A fast reply is not a sale yet. But silence definitely doesn't help.

What should happen after «How much is it?» — and why one bot isn't enough. 6-minute read.

The short answer: an auto-reply and helping the customer are different things. A reply sells only when it's followed by a substantive answer and a next step: the price from your price list, clarifying questions, or handing over to a specialist with context. Below — how to build the path from message to action, and what to measure.

What should happen after the first message

A customer writes: «How much is it?». They receive: «Thanks for your enquiry! We'll reply soon». Formally, there is an answer. In substance, the person learned nothing.

An auto-reply and helping the customer are different things. After the first message: understand the request, give a useful answer, offer a next step.

  • If the price is fixed — name it from the current price list.
  • If the cost depends on the job — explain what exactly it depends on and ask the necessary questions. Don't run a twenty-message interrogation.
  • If a specialist is needed — hand over the conversation together with the context.

Why one chatbot isn't enough

A bot can chat well, but the enquiry will still get lost if:

  • Nobody is assigned as the owner of the enquiry.
  • The manager can't see the conversation history.
  • The enquiry never reached the working system.
  • The customer was promised a follow-up that never happened.

That's why you automate more than the reply. You build the path from message to next action.

What to measure

Not the number of messages the AI wrote. Look at:

  • whether the customer got a substantive answer;
  • whether they reached a booking or consultation;
  • how many enquiries were left unprocessed;
  • how often staff had to fix the system's work.

A business doesn't need a chatty bot. It needs a working process.

FAQ

Do auto-replies hurt sales?

No. What hurts is a reply that tells the customer nothing substantive. A quick acknowledgement is fine — but a substantive answer or a clarifying question must follow.

How do I know the process works?

By the dynamics: share of enquiries with a substantive answer, time to a booking or consultation, share of unprocessed enquiries, and how often staff have to fix the system's work.

Enquiries are already getting lost. Where do we start?

Assign an owner for each enquiry and move the path into the CRM: who replies, what is logged, within how many minutes. Automation pays off after that, not before.
